VERDICT

The short answer.

The best Dubsado alternative for an agency with multiple clients is Nuflw, starting at £49 a month. Unlike Dubsado, which puts every client into a single workspace and bills per account, Nuflw gives each client their own isolated workspace - with its own Brand Knowledge, email lists, pipeline, and competitor profiles. The agency owner sees across every workspace at once. The trade-off: Dubsado has more mature contracts, invoicing, and scheduling today; Nuflw has marketing and intelligence built in.

THE CONTEXT

Why agencies start looking for a Dubsado alternative.

Dubsado is a strong product. For a solo photographer, a doula, a designer running 1-15 client engagements with proposals, contracts, and invoicing as the core daily work, it is one of the right answers. None of the reasons below are about Dubsado being a bad tool. They are about the shape of the tool not fitting an agency running multiple clients in parallel with marketing alongside.

One workspace, every client inside it.

Dubsado puts every client into the same workspace as a record. The brand kit, the email templates, the workflow definitions - all shared across every client the agency runs. For a solo business with one brand to maintain, that is correct. For an agency running ten clients in ten different sectors, brand drift becomes the daily problem. Aurora Coffee Co.’s welcome email and Acme Engineering’s welcome email get drafted from the same template because there is only one template. The agency owner becomes the manual policing layer.

Marketing lives somewhere else entirely.

Dubsado handles documents and project workflow. It does not handle email marketing campaigns, competitor research, content cadence, or ad copy. Agencies that deliver marketing for their clients end up running Dubsado plus Mailchimp plus a competitor research tool plus a content planner plus a brand asset library - five tools, none of which know about each other. The marketer becomes the integration. For a service business that does not deliver marketing, this is fine. For a marketing agency it is the same problem the per-client tool stack creates everywhere else.

Per-client brand voice is a manual exercise.

Dubsado lets the agency set a brand kit and email templates - one set, account-wide. When a new client comes on, their voice, tone, and positioning live in the agency owner’s head and in a Google Doc somewhere. By the time the proposal is sent, three weeks have passed since the discovery call, and the proposal’s tone has drifted. The next email is generated from the same single template. Three weeks later, Aurora’s deck does not sound like Aurora anymore.

Nothing watches across the book.

Dubsado surfaces what is happening inside one workflow at a time. It does not surface what is happening across every client at once. Agencies running 5-15 clients in parallel need that view - which client’s onboarding is stalled, which client’s last campaign underperformed, which client’s competitor moved this week. Without it, agencies notice problems through email from the client instead of through the platform watching on their behalf.

FAIR PLAY

Where Dubsado is the better choice.

Five places Dubsado is genuinely the right tool. These are not concessions, they are facts.

Mature recurring invoicing. Stripe, Square, and PayPal connected directly inside Dubsado. Auto-charging on schedules. Late-payment reminders. Refunds inside the workflow. For a business that needs recurring billing as a core daily operation, Dubsado is materially ahead of Nuflw today.

Mature contracts and e-signature. Custom contract templates with conditional fields. ESIGN-compliant audit trails. Multi-signer workflows. For regulated industries or contracts where compliance proof matters at signature time, Dubsado has spent years building this and it shows.

Scheduling built in. Two-way calendar sync, embeddable booking pages, automatic reminders, time zone handling. Nuflw does not have a built-in scheduler - the recommendation is to use Cal.com or similar alongside.

The form builder. Dubsado’s form builder is mature - conditional logic, multi-step flows, file uploads, embeddable on any site. Nuflw’s intake forms live inside the onboarding pipeline and are not designed as a general-purpose form tool.

Solo service businesses. If the business is one person serving 5-20 clients with a focused service offer (photography, design, consulting, doula work) and the daily job is documents, scheduling, and invoicing - Dubsado is the right shape. Nuflw’s per-client workspace model adds complexity that one-person service businesses do not need.

If those are the dimensions that matter, Dubsado is the right tool. Agencies running multiple clients with marketing alongside have a different problem.

THE DIFFERENT PROBLEM

Where Nuflw is the better choice.

One workspace per client.

In a Dubsado-shaped setup, every client lives inside the same workspace as a record. Brand kit shared, templates shared, workflow definitions shared. The agency owner enforces brand voice manually because the platform has one brand and one set of templates. For a business serving multiple clients across multiple sectors, that is the daily problem.

Nuflw collapses this differently. Each client gets their own workspace. Inside that workspace lives their Brand Knowledge file - voice, tone sliders, positioning, words to use, words to avoid, messaging pillars, personas. Their contacts, their pipeline, their email lists, their competitor profiles. The proposal sent to Aurora reads Aurora’s Brand Knowledge. The proposal sent to Acme reads Acme’s. The agency owner stops being the manual brand-policing layer because the platform does it on every generation.

Marketing alongside the document workflow.

Dubsado handles documents and project workflow. For an agency delivering marketing for the client, that is half the job. The other half - email campaigns, competitor analysis, content cadence, ad copy - lives in three other tools that do not know about Dubsado.

Nuflw treats marketing as part of the platform, not a bolt-on. Each client workspace has its own email marketing surface (campaigns, automations, A/B tests, segments), its own competitor intelligence (eleven analysis dimensions per competitor), its own Ad Builder reading the client’s Brand Knowledge. The onboarding pipeline and the marketing surfaces share a data layer, so the contract’s package definition feeds the welcome email automation, which feeds the first month’s content plan. The agency operator stops being the integration between four tools.

Forge Intelligence watches the whole book.

Dubsado surfaces what is happening inside one workflow. Nuflw watches across every client workspace daily. Pipeline Sentinel notices stalled stages. Email Intelligence notices open-rate drops below the per-client baseline. Content Cadence notices when a client’s schedule runs dry and drafts the fill posts into the planner. On Agency tier, the Portfolio Synthesiser runs weekly across the whole book and names the priority client of the week. Autonomous competitor monitoring is rolling out through 2026 and into 2027 - today, competitor analysis runs on demand from the analysis tabs.

The agency owner opens Nuflw on Monday morning and sees a ranked list of what changed across every client over the weekend. Each insight carries a specific next action - open the stalled pipeline, jump to the priority client workspace, or, for content droughts, review the drafted fill posts. Not a dashboard to interpret. A ranked list, with the next step pre-filled.

PRICING

Side-by-side prices.

Dubsado bills per account. Nuflw bills per workspace. For an agency running multiple clients, that single architectural difference is most of the price story - and most of the operational difference too.

Dubsado Starter

$200 / year

Or $40/mo. Includes unlimited clients and projects, but no workflow automation or scheduling. Most agencies move to Premier within a quarter.

Nuflw Solo

£49 / month (flat)

One workspace, full platform - documents plus email, competitor intel, Ad Builder, Brand Knowledge. For solo marketers and freelancers.

Nuflw Agency

£249 / month (flat)

10 client workspaces, 5 team seats. Portfolio Synthesiser cross-client view. The natural fit for an agency comparing against Dubsado Premier.

Dubsado Premier at $400 a year (or $70 a month) is the realistic comparison for an agency - it unlocks workflow automation, scheduling, and unlimited templates. The price gap to Nuflw Agency (£249/mo, roughly £2,988/yr) is real, but the trade is real too: with Dubsado the agency adds Mailchimp, a competitor research tool, a content planner, and a brand-asset library separately. With Nuflw, those are inside the platform per client.

DECISION

Who should choose what.

Choose Dubsado if the business is a solo service operator (photographer, designer, consultant, doula) with one brand to maintain, 1-20 active clients, and recurring billing or scheduling as the core daily work. Dubsado is the right shape for that.

Choose Nuflw if the business is an agency running 3-20+ clients with marketing as part of the delivery, needs each client’s brand voice isolated, and values cross-client intelligence over deeper per-document automation.

QUESTIONS

The honest FAQ.

Is Nuflw a direct Dubsado replacement for solo service businesses?
For a single solo service business with no marketing layer, Dubsado is the more focused tool. Nuflw is built primarily for agencies running multiple clients with marketing alongside the document workflow. The Solo plan at £49 a month works for a solo marketer or freelancer, but the platform’s shape - per-client workspaces, Brand Knowledge per client, cross-client intelligence - is built for the agency case.
Does Nuflw have a client portal like Dubsado?
Yes. Each client workspace generates token-based public URLs for onboarding, contracts, intake forms, and signing. The client uses one link, no account creation. The portal carries the agency’s name and brand colours rather than Nuflw’s. White-label reporting is available on Agency tier.
Does Nuflw support recurring invoicing and Stripe?
The five-stage onboarding pipeline has a payment stage that today is handled manually - the team marks payment received after collecting it outside the platform. Stripe support is on the roadmap and lands before public launch. If recurring invoicing is the critical workflow today, Dubsado is the closer fit.
Can I bring my Dubsado workflow templates across?
Not directly - Dubsado’s workflow definitions are not in a format Nuflw imports. The Nuflw onboarding pipeline uses five fixed stages (Discovery, Proposal, Contract, Payment, Active) with per-stage auto-generated documents from the package definition stored on the client workspace. The model is different; an evening of re-setting up is usually enough.
I run a small studio with three repeat clients. Is this for me?
Probably Dubsado. Nuflw’s value compounds with the third client onwards and with marketing being part of the work. A three-client studio that mostly delivers production and doesn’t run ongoing marketing for the clients gets less from Nuflw than from Dubsado’s focused workflow tooling.
How does the agency tier handle ten clients?
Each client gets its own workspace, with its own Brand Knowledge, contacts, pipeline, email lists, and competitor profiles. The agency workspace sits above them with a Portfolio Synthesiser that runs weekly across the whole client book and surfaces a ranked list of priorities - which client’s pipeline is stalled, which client’s metrics shifted, which client needs attention first.
Where is my data hosted, and who can see it?
Supabase EU. Workspace-level row-level security is enforced at the database. Only people you invite to a workspace can see its contents. Forge agents read their own workspace’s data only - no cross-workspace data flow.

See it on a real workspace.

The fastest way to know if Nuflw fits is to try it on a real client onboarding. Free trial, no card, fourteen days. If a 20-minute walk-through is more useful first, book one.
